This policy explains how Adam Property ("we", "us") collects, uses, and protects the personal information of tenants who use this Property Management System (the "Portal") to register an account and report property issues.

Who we are

What information we collect

• When you register: your full name, email address, the postcode of the property you live in, and a password (stored securely — see below).
• When you report an issue: a description of the issue, the room number, and any photos you choose to attach.
• Automatically: a login session cookie that keeps you signed in. We do not use analytics, advertising, or tracking cookies.

How we use your information

• To create and manage your tenant account, including reviewing and approving new registrations.
• To verify your email address and, if needed, let you reset your password.
• To receive, log, and act on the property issues you report — including arranging repairs or contacting contractors where relevant.
• To contact you about an issue you've reported, or about your account.

We do not use your information for marketing, and we do not sell or rent your information to any third party.

Where your information is stored

Your account details and issue reports are stored in a private Google Sheet, and any photos you attach are stored in a private Google Drive folder, both controlled by Adam Property. Google acts as our data processor for this storage — your information is subject to Google's own privacy and security practices as the hosting provider, but is not used by Google for its own purposes. Your password is never stored in readable form — it is protected using a one-way cryptographic hash (bcrypt), which means even we cannot see or recover your actual password.

Who we share your information with

We do not share your personal information with third parties, other than the service providers that operate the Portal on our behalf (Google, for storage, and our email provider, for sending activation and password-reset emails). We may disclose information if required to do so by law.

How long we keep your information

We keep your account and issue records for as long as your tenancy and Portal account remain active, and for a reasonable period afterwards in case of any dispute or follow-up relating to a reported issue. You can ask us to delete your account and associated data at any time — see "Your rights" below.

Your rights

Under UK data protection law, you have the right to:

• Ask for a copy of the personal information we hold about you.
• Ask us to correct any information that is inaccurate or incomplete.
• Ask us to delete your information, where there is no good reason for us to keep it.
• Object to, or ask us to restrict, how we use your information.

To exercise any of these rights, email adam.property.london@gmail.com. If you're not satisfied with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

Children

The Portal is intended for use by adult tenants only and is not directed at children.

Changes to this policy

We may update this policy from time to time. If we make significant changes, we will update the "Last updated" date above.
